Custom Cushion Covers: Building a Clear Wholesale Sampling Brief

For a home-textile importer or private-label brand, a cushion-cover collection needs more than an attractive reference photograph. Define each design’s size, closure, reverse fabric and care requirements so the sampling discussion supports a clear wholesale assortment.

Use the brief below to make a custom enquiry clearer. It is a planning checklist; available customisation and sampling depend on the selected product and order.

Begin with the insert and intended setting

Record the insert dimensions, shape and relevant construction. Confirm whether you are buying covers only or asking for an insert as well. Avoid treating “cushion” and “cushion cover” as interchangeable descriptions in the quotation.

Describe where the cover will be used: a decorative retail collection, guestroom, lounge or another setting. Do not assume a decorative design is suitable for every type of commercial use simply because it fits the insert.

Define the finished cover

Specify the required dimensions and how they will be measured. Discuss fit with the supplier and assess it on the intended insert. A universal rule about buying the cover smaller or larger can be unhelpful when insert shape, fill and cover construction vary.

Record the front and reverse separately when they differ. Ask for the actual composition and construction. A textured surface does not establish whether an item is knotted, tufted, woven or made by another process.

Choose a closure your team can use

Where options are available, consider how the cover will be fitted and removed. Review the opening size, closure position and the finish around the opening. Check any zip, ties or envelope overlap on the sample rather than relying on a style name alone.

For hospitality, ask a staff member to fit and remove the cover. For retail, consider what the customer needs to understand from the description. Record useful observations such as restricted opening access or an exposed closure rather than making broad claims about durability.

Make decorative details explicit

  • Pattern scale and placement
  • Front and reverse colours or fabrics
  • Piping, fringe, tassels or other trims
  • Closure position and appearance
  • Any proposed branding and its placement
  • Individual packing or other packing requirements

Mark which details are essential and which are open to discussion. Confirm branding feasibility separately; a custom enquiry does not mean every requested treatment can be supplied.

Resolve care before approving the sample

Ask for care instructions that apply to the complete design, including backing, trims and closures. Do not transfer washing instructions from another cover simply because the main fibre sounds similar.

If the cover will enter a commercial laundry, explain that process before approval. Ask what evidence is available for the intended conditions. Keep any unresolved care question visible until it is answered.

Approve one recorded version

Keep the sample reference, finished dimensions, composition, construction, colour decisions, closure and care guidance together. Record requested changes and confirm which version is approved before production arrangements are finalised.

Plan the design and size split

Give each proposed variant a reference and list its initial quantity. Identify which details are shared across the collection and which belong to a particular design. Ask the supplier to assess the combined brief; do not assume that approval of one sample settles every colour, trim or size.
