The Linen Product Handover Pack a Distributor Needs for Reorders
Illustrative image. Final specifications confirmed at quotation.
A hospitality distributor’s first order can involve buying, sales and warehouse teams, each holding part of the product decision. A useful handover connects the approved linen specification with customer allocations, packing requirements and the people responsible for replenishment.
Keep the final records easy to identify. A colleague preparing the next enquiry should be able to find the approved reference and see which customer requirements it serves without reconstructing a long email chain.
The approved product
Include the final product reference, dimensions, composition, construction, colours and relevant finishing details. Record the approved sample reference and where the physical sample is kept if one was retained.
Mark superseded specifications clearly so they cannot be mistaken for the current version.
The customer uses and care requirements covered
Record the customer uses the product was selected for and the confirmed care guidance. Identify any account-specific requirement that should not be applied to every customer buying a similar item. Include any relevant trial or test references and the conditions behind them.
If an important question remains unresolved, keep it visible. A handover should not turn a provisional decision into an unconditional approval.
The stock allocation, commercial and packing record
Retain the accepted quotation, quantities by product reference, customer allocations, agreed packing details and delivery arrangements. Keep access appropriate for your team and business information.
Do not assume those terms automatically apply to a repeat order. A new quantity, destination, specification or required date may need a fresh quotation.
The history that changes the next decision
Summarise approved changes, delivery discrepancies and relevant operating observations. Include the outcome, not just the original complaint or question.
For example, a note that a closure was changed before approval helps prevent the earlier version from reappearing in the next brief.
The next buyer, customer contact and stock owner
Identify who can approve a specification change, who checks quantities and who confirms the commercial order. Keep the supplier contact route and internal responsibilities current.
Before handing over, ask a colleague to locate the current specification and explain what still needs checking before reordering. Any hesitation tells you where the pack needs a clearer label or a missing decision.
For Casa repeat enquiries, share the relevant previous reference and current requirements. Specifications, quantities and timing should be confirmed for the new order rather than assumed from the previous one. Review the Casa order process.
Use Casa’s bed-linen range to identify the product references relevant to your enquiry.
