What Customer Linen Write-Offs Can Tell a Hospitality Distributor

When several hotel customers ask a distributor for replacement linen, the useful question is what drove each requirement. Missing pieces, fit problems and an appearance complaint call for different responses, even when all three lead to a towel order.

Collect comparable withdrawal information from customers before changing a stocked specification. Keep each account’s operating conditions visible so one property’s experience does not become an unsupported claim about the whole range.

Ask customers to use comparable removal reasons

Choose categories your customers’ staff can apply consistently: damage, staining, dimensional or fit problems, unacceptable appearance, loss, or another recorded reason. Keep an “unclear” option so uncertainty is not forced into a misleading category.

If an item has more than one problem, record the main reason for removing it and a short additional note.

Connect the item to its specification

Record the product reference and, where available, the order or batch reference and date introduced. Note the customer, property or operating area relevant to the review, sharing only the information needed for the investigation.

Without that connection, a pattern affecting one construction or one operating area can disappear inside a total for all linen.

Compare customer groups on a meaningful basis

A large removal count may simply reflect a large quantity in use. Review removals alongside the size and use of the relevant stock group.

Do not turn a short period of observations into a precise lifetime claim. Keep missing information visible, especially when service frequency or care conditions differ.

Investigate before changing the order

A recurring problem may need discussion with the supplier, laundry or operations team. Share the exact product reference, observed issue and relevant records.

Changing the textile specification may be appropriate, but so might clarifying handling, sorting or care compatibility. The record identifies a question; it does not prove the cause on its own.

Review one change at a time where practical

Write down the proposed change and what you expect to observe. Compare the subsequent results using the same definitions. If several things change together, acknowledge that it may be difficult to tell which made the difference.

Keep the account reference, date, product reference, removal reason, relevant use information and agreed follow-up. Use the findings to decide whether the next enquiry repeats the specification, changes an attribute or needs further investigation.

Use Casa’s towels and bath linen to identify the product references relevant to your enquiry.

Discuss a replacement linen specification with Casa.
