How Hospitality Distributors Build a Customer-Ready Linen Specification
Illustrative image. Final specifications confirmed at quotation.
A hospitality distributor may receive several enquiries for “white sheets” that describe different products once mattress fit, construction and laundry requirements are known. Build each specification around the customer’s use, then identify which requirements can share a stock line.
A clear product reference lets your buying, sales and warehouse teams discuss the same item. It also helps prevent a quotation for one customer’s specification being reused for an incompatible requirement.
-
Write the job in one sentence
Describe the customer group and use. A sheet for a serviced-apartment mattress and a sheet for a resort suite may need different finished dimensions even when the enquiry uses the same size name.
Use that sentence to decide which details the specification needs.
-
Keep the commercial brief alongside it
Record quantities by product reference and customer allocation, with destination and required timing. Separate stock replenishment from a confirmed customer project.
These requirements guide the enquiry, but they do not replace a description of the product itself.
-
Specify bed linen in its fitting context
Record the item type, mattress or insert context, finished dimensions, composition, construction and closure where relevant.
Include the fields that resolve the actual bed-linen requirement.
-
Describe the towel or bath-linen use
Record intended use, dimensions, composition, construction and relevant weight or performance requirements.
Choose those requirements around the item’s job rather than the product name alone.
-
Define table and kitchen details
Record shape or style, dimensions, coverage, edge or strap details and care requirements.
Treat this list as a starting point; add a field when it resolves a real buying requirement.
-
Describe the complete cushion cover
Record insert context, finished dimensions, face and reverse, closure, trims and contents.
Make clear what is included in the item being specified.
-
Agree checks for dimensions and appearance
For dimensions, agree measurement points and tolerances. For appearance, identify an approved reference.
The requirement should state how your team will review it.
-
Connect performance requirements to evidence
Discuss relevant evidence and acceptance criteria for performance.
Do not insert a test name or numerical limit without understanding whether it answers the intended-use question.
-
Separate essentials, options and unknowns
Mark essential attributes clearly. List preferences and alternatives separately so a supplier can propose an option without silently changing a requirement.
Keep unknowns visible. A blank composition or care field should prompt clarification, not an invented answer.
-
Approve one specification for each stock line
Retain the specification with the sample reference, quotation and approval decisions.
If a detail changes, identify the new version before proceeding.
Casa’s bulk-order process is based on discussing and confirming the individual requirement. A clear specification makes that discussion more useful.
Use Casa’s bed linen and bath linen to identify the product references relevant to your enquiry.
