Repeat Linen Orders: A Distributor’s Specification Change Check
Illustrative image. Final specifications confirmed at quotation.
A hospitality distributor’s repeat order may replenish a common stock line, a customer-specific range or both. Before asking for “the same again”, connect the previous approved specification to the customers and quantities the new order must serve.
Use the earlier approval as the starting reference. Then record changes on both sides: the customer’s requirement and the proposed supply.
Find the final approved version
Identify the previous product reference, specification and sample record. Make sure you are using the final version rather than an early quotation or an unapproved sample.
Include changes agreed before the earlier order was completed, especially if they were recorded in separate correspondence.
Check what has changed across customer requirements
Review customer allocations, size mix, intended use, laundry process, packing and destination. A customer’s new mattress or revised laundry arrangement can change the requirement even when your stock code has not changed.
Record these differences explicitly in the new enquiry.
Ask about changes in the proposed supply
Request confirmation of the current specification and identify any proposed substitution or variation. Do not assume that an alternative fabric, trim or closure inherits the previous approval.
If a change matters to fit, appearance or care, agree how it will be reviewed before accepting it.
Compare against retained references
Where relevant references are available, use them consistently. Distinguish the approved original from an item that has changed through use or care.
Explain which reference controls the decision and what variation is acceptable. Avoid asking the supplier to reproduce an undefined appearance.
Give sales and warehouse teams the current version
Keep the current specification, quantity split, quotation and approval decisions together. Record whether any sample, trial or other check was repeated and why.
A short change log can be enough: previous reference; current requirement; changes; approval needed; final decision.
For Casa repeat enquiries, provide the earlier reference and the new requirements. Quantities, pricing and timing remain subject to the individual quotation rather than an assumed continuation of previous terms.
Use Casa’s bed-linen range to identify the product references relevant to your enquiry.
