The Multi-Property Linen Stock Audit Before a Central Reorder
Illustrative image. Final specifications confirmed at quotation.
A central linen reorder should begin with a comparable stock snapshot from every property. A group-wide total can conceal a shortage in one bed size, stock reserved for an opening and surplus pieces that do not fit another property’s requirements.
Use common product references and condition definitions before combining the counts. Keep physical location, availability and incoming orders as separate parts of the record.
Use common references and counting units across properties
Decide whether each line counts individual pieces or defined sets. If a set contains several items, make that content explicit. Use consistent product references for size, colour and construction.
“White sheets” is not precise enough when properties use different mattress sizes or approved finished dimensions.
Count by location
List the places where stock moves: prepared rooms, floor stores, central storage, laundry collection, the laundry itself and returned stock awaiting sorting. Assign responsibility at each property and agree a common counting cut-off so goods in transit are not counted twice.
Where another party holds stock, reconcile their record with yours. Avoid counting an item once as dispatched and again as received if both records cover the same movement.
Separate condition from location
An item in the linen store may still be awaiting inspection or marked for repair. Use clear categories such as ready for use, awaiting assessment, repair pending and removed from service.
Keep the definitions practical and consistent. Do not classify an item as usable simply because it has not yet been discarded.
Reconcile orders and allocations
Record confirmed incoming quantities, expected timing and the relevant specification. Show stock already allocated to a new room setup or another property separately.
This avoids reordering because an incoming delivery was overlooked, or delaying an order because reserved stock appeared freely available.
Build a property-by-property buying snapshot
For each product reference and property, show the usable quantity, committed allocations, relevant incoming orders and operating requirement. Assess any proposed transfer for fit, care and specification compatibility before reducing a purchase quantity. Flag unresolved discrepancies before treating the figures as a final order instruction.
The stock review does not determine a universal reserve level. That decision still depends on your service pattern, laundry turnaround, replacement experience and risk tolerance.
Once the requirement is clear, send Casa the relevant specifications and quantity split for discussion. Keep any tentative quantities labelled as estimates until your team has approved them.
Use Casa’s bed-linen references to identify the product references relevant to your enquiry.
